This page outlines the responsibilities of this website and its owner (Kate Rolak) regarding the data of individuals who visit this site, detailing how this data is obtained, processed, and deleted.

How and where your information is collected and stored
By contacting me via the email address or through the contact form on katerolakphotography.com, regarding commissioning, events, or otherwise, your email address (and any other relevant personal information that you provide, i.e., name, telephone number, as well as details of your wedding date and location (if applicable)) will be stored on a secure, password protected, online email server provided by Google. This server is accessed through an encrypted connection on a secure browser, from a secure, password-protected, antivirus-protected computer or smartphone. The information you provide while fulfilling your inquiry will only be collected when voluntarily submitted by you as the User.
Your final photographs will be stored on a platform called Pic-Time in a password-protected online gallery. When viewing your photos, you will be required to sign in to the gallery using your name, email address, and the password provided by Kate Rolak Photography. If you share the password with family, friends, and guests, they will also be required to sign in with their name, email address, and the given password. This information will also be collected and stored by Pic-Time. Pic-Time is also GDPR compliant and will not share your personal data with anyone other than Kate Rolak Photography.
How I will use your information
When booking Kate Rolak Photography for services, I will also collect your address (home and/or business, if required). This data will be held for the sole purposes of responding to enquiry, and the carrying out of contractual agreements – i.e., contacting you to discuss the services booked, delivering the Photography Plan, delivering your final photographs, as well as maintaining accurate business record-keeping (i.e., invoicing).
I may use your final photographs for marketing purposes on social media platforms, on katerolakphotography.com, and in printed marketing material.
Your personal data will never be used for marketing purposes or be shared with any third parties, other organisations, or individuals. In the event that a commission or project requires the engagement of a third party (i.e., additional performers, venues, etc.) and it becomes contractually pertinent to share this information, this will only be done with your explicit individual written consent, which may be withdrawn at any time by writing to me via email as detailed below.
In compliance with UK and international law, in the case of suspected criminal activity or other legal obligations, this data may be shared with the relevant UK or international authorities.
How long it is held
If your email is a query relating to contractual services in my capacity as a wedding photographer, then this data will be held for 24 months after the date of initial contact. After these periods, the data will be removed from the email server.
Any data held in invoices (for example, name, address, bank details) will be held for 5 years after the end of the relevant tax-year submission (annually, on January 31st). This is in accordance with HMRC's requirements on record keeping. Further information can be found at hmrc.gov.uk.
At any point, you may request that your data be preserved after this period by contacting me via info@katerolakphotography.com and providing your explicit written consent. You reserve the legal right to request a copy of this data or to request correction or deletion of this data, as detailed below.
